EVENTS AT CORAL CAY
Incidentals / security deposit:
An incidentals deposit of US$1,000.00 is required for all bookings (US$1,500.00 for wedding / special event groups), payable up to two business days before arrival. If payment of accommodation and other costs is made via bank deposit / wire transfer, the guest must complete our credit card authorization form for this deposit to be pre-authorized. The incidentals deposit will normally be refunded within five business days after check-out if no damage is sustained during the guest’s stay. This deposit will be forfeited, in full or part, if there is loss or damage to any of the property's fixtures, including linens and towels.
Arrival / Departure times:
Check-out and check-in times are 11:00 a.m. and 3:00 p.m. respectively.
Number of Guests:
The number of persons (adults and children) staying at each villa MUST NOT exceed the maximum number of sleeping places indicated in the booking confirmation. Entry or access to the property may be refused or limited where the number of guests exceeds the stated requirement. No pets are allowed.
There is a drop-in rate of US$55.00 (10:00a.m.-5:00p.m.) per person if you wish to have friends / family visit with you for the day. This is payable before your group arrives, and the list of additional guests must be provided ahead of time. Visitors are not allowed inside guest rooms and will be accommodated in common areas only.
Special Events:
One-day special events, such as weddings, are accommodated at Coral Cay Villas, with a minimum 3-night villa rental. All special events attract an event fee as follows:
• Up to 50 guests – US$1,650.00 (including tax);
• 51-100 guests – US$2,200.00 (including tax);
• over 100 guests – US$3,300.00 (including tax).
Maximum 150 guests for event. This number includes vendors who will remain on property throughout the event. There are no additional vendor fees. The Guest is responsible for any permits and/or rentals which may be required. Parking guidelines must be adhered to.
The following must be adhered to:
• The Guest must rent a generator for use during the event.
• Event caterer must ensure that a prep tent is provided for the preparation and / or plating of meals. The villas may not be used for that purpose.
• Event planner must meet with our Villa Manager / Supervisor at least two (2) months before event, to work out logistics.
• Final guest count and vendor list must be provided to the Reservations Agent at least one (1) week prior to the event.
• Vendors must clean up their areas after use. Failure to do so will result in a forfeit of your security deposit.
• Vendors and off-property guests are not allowed inside the villas, with the exception of hair, make-up and photography vendors, and the wedding party.
• Event guests will be admitted to the property no more than one hour (1 hour) before the scheduled start time of the event.
